After-Hours Call Answering for Small Business

Small businesses answer after-hours calls four ways: voicemail, an answering service, forwarding to a cell phone, or an AI receptionist. Kall8 includes voicemail and forwarding rules with every number, and its AI Receptionist ($55 a month plus $10 setup on any Kall8 plan) can answer only outside your hours.

How do you run an AI receptionist only at night?

  1. Add the AI Receptionist to your Kall8 plan, at signup or under AI Agents in your portal.
  2. Open the number in your portal and add a Scheduled Forwarding rule with your business hours.
  3. During those hours, ring your phone or your team; outside them, send calls to the receptionist.
  4. Give the receptionist your opening hours and an on-call transfer number for callers who ask for the on-call person.

Prefer your team to try first? Put the receptionist at the end of a hunt group (a paid add-on) and it picks up only when nobody on the team answers.

What should it say after hours?

  • When you open again, so callers know when to expect a person.
  • What to do in an emergency. An AI receptionist is not an emergency service; if your callers could have one, tell them to hang up and dial 911.
  • Who is on call, if anyone, and when the receptionist should transfer to them.
  • The answers to your most common questions, so a caller at 9 p.m. gets the same answer as one at 9 a.m.

When is voicemail enough?

If you get a handful of after-hours calls a week and they can all wait until morning, voicemail with email delivery is enough, and it's included with every Kall8 number. An answering service or an AI receptionist earns its keep when after-hours callers want an answer now, or when a missed call means a lost job.

After-hours questions

Yes, when voicemail is on for your number (it's on when you add the AI Receptionist at signup): if the receptionist's transfer isn't answered, or you send calls straight to voicemail for the night, the caller can leave a message and Kall8 emails it to you.

Yes. Add your cell (or an on-call phone) as a transfer target and tell the receptionist when to use it. It announces the transfer and rings that phone. If a transfer isn't answered, the caller can leave a voicemail when voicemail is on for your number (it's on when you add the AI Receptionist at signup).

No. The rule runs on the Kall8 number you already have, toll-free or local, including a number you transfer to Kall8.

The same $55 a month plus $10 setup, with 250 AI minutes included per account; answering fewer calls simply uses fewer AI minutes. Forwarding rules are included with every Kall8 number.
