Answered while your hands are full

Trade businesses lose calls in the same few ways: the owner is on a job, the office is closed, or nobody can get to the phone. A homeowner with a problem rarely waits for a call back; they ring the next company in the search results. An AI Receptionist answers with your company name, asks what the call is about, and puts the caller through to someone who can help.

During the day it answers the routine questions you give it (do you cover my town, do you work on tankless water heaters, is there a charge for a service visit) and transfers the rest to your phone. After hours, a Scheduled Forwarding rule sends calls to it, and callers who ask for the on-call technician are transferred to that person's phone.

It doesn't quote jobs, promise arrival times or decide who goes where. Those decisions stay with you: the receptionist's job is to get the caller through to you or your on-call technician. If a transfer isn't answered, the caller can leave a voicemail when voicemail is on for your number (it's on when you add the AI Receptionist at signup).

The AI Receptionist is not an emergency service: a caller who smells gas or has any other emergency should hang up and call 911 or their utility.

A sample call

An example for a heating and cooling company on a winter evening. Your greeting, questions and on-call number are your own.

  1. AI Receptionist Thanks for calling Northside Heating and Air. How can I help today?
  2. Caller Hi, our furnace stopped working and the house is getting cold.
  3. AI Receptionist I'm sorry to hear that. Which town are you in, so I can check it's in our service area?
  4. Caller Fairview.
  5. AI Receptionist Thanks, Fairview is in our area. Is this a new problem, or a job we're already working on?
  6. Caller It's new.
  7. AI Receptionist Got it. Our on-call technician tonight is Marcus. Let me put you through to him now.
  8. The call rings Marcus's cell. If he can't pick up, the caller can leave a voicemail when voicemail is on for the number.

What callers ask a trade business

Do you work in my area?

List the towns or ZIP codes you cover and the receptionist tells the caller straight away, before anyone's time is spent on a job you can't take.

Is there a charge to come out?

If you publish a trip charge or a diagnostic fee, write it in the instructions so callers hear the same figure your office would give them.

Can someone come out today?

It doesn't promise a time. It puts the caller through to whoever decides, or to the on-call phone after hours.

Do you work on my equipment?

Brands, system types and the work you don't do: a short list in the portal answers most of these calls without a transfer.

Are you licensed and insured?

Give it your license number and the wording you're comfortable with, and it answers the question the same way each time it comes up.

Where are you with my job?

Existing customers asking about work in progress can be transferred to the office or the crew lead for that job.

Set up transfers for your crew

In your portal, under AI Agents, add a transfer target for each phone a caller may need. A small crew might set up:

  • The office or the owner's phone as the main transfer target for new jobs and quotes.
  • A target for the on-call technician's phone, with the number updated when the rotation changes.
  • A Kall8 hunt group (a paid add-on) if two or three people share on-call duty, so the call rings each of them in turn; if nobody answers, the hunt group follows its own end-of-hunt setting.
  • A Scheduled Forwarding rule that sends calls to the receptionist in the evenings and at weekends, while your office answers during the day.
  • Instructions with your service area, the equipment you work on, any published trip charge and what to tell callers who ask about same-day visits.

In your portal, start from the Receptionist template, then add your towns, trades and on-call details. The portal also has starting templates for home services calls.

Questions

Yes. Add the on-call phone as a transfer target and tell the receptionist when to use it. Change the number in your portal when the rotation changes.

No. It answers the questions you write in the portal and transfers the caller to you or your team, who agree the visit. If a transfer isn't answered, the caller can leave a voicemail when voicemail is on for your number (it's on when you add the AI Receptionist at signup).

Yes. Transfer your toll-free or local number to Kall8 with no port-in fee and the receptionist answers it once the transfer completes.

Set a Scheduled Forwarding rule: your phone rings during the day and the receptionist answers in the evenings and at weekends.

Each account includes 250 AI minutes a month, shared by all of its AI receptionists. At two minutes a call that is about 125 calls; AI minutes over 250 are $0.25 each, plus your standard per-minute rate.
