Give your front desk room to breathe

A front desk looks after patients in the waiting room and on the phone at the same time. The calls that pile up are often the same few: what time do you open, where do we park, do you see children, are you welcoming new patients. Your AI Receptionist answers those from the instructions you write, and transfers anything else to the front desk.

It doesn't give medical advice, look anything up or change anything for the caller. It greets the caller with your practice's name, answers the general questions you set, and puts the caller through to a person. If a transfer isn't answered, the caller can leave a voicemail when voicemail is on for your number (it's on when you add the AI Receptionist at signup).

After hours, a Scheduled Forwarding rule sends calls to the receptionist. A caller who asks for the on-call provider is transferred to your on-call line; everyone else hears your opening hours.

The AI Receptionist is not an emergency service: callers with an emergency should hang up and dial 911.

A sample call

An example for a family dental practice on a weekday morning. Your greeting, answers and transfer numbers are your own.

  1. AI Receptionist Good morning, Lakeview Family Dental. How can I help you?
  2. Caller Hi, are you taking new patients? And do you see kids?
  3. AI Receptionist Yes, Lakeview Family Dental is welcoming new patients, and the practice sees children from age three.
  4. Caller Great. I'd like to set up a first visit for my son.
  5. AI Receptionist Our front desk can help with that. Let me put you through now.
  6. The call rings the front desk. If nobody there is free to answer, the caller can leave a voicemail when voicemail is on for the number.

What patients ask before they ask for a person

What are your hours?

Weekday and weekend hours, holiday closures and the lunch break, answered as soon as a patient asks.

Where are you, and where do I park?

The address, which entrance to use, parking and public transit, in your own words.

Are you taking new patients?

Tell it whether you are, which ages you see and what a new patient should bring, then let it transfer the caller to the front desk.

Which services do you offer?

Cleanings, whitening, physicals, vaccinations: a short list of what you do and don't offer saves the front desk a call.

Can I talk to someone about my visit?

Existing patients are transferred to the front desk, which handles visits and anything about their care.

Is the doctor available after hours?

Callers who ask for the on-call provider are transferred to your on-call line; others hear your opening hours.

Set up transfers for your practice

In your portal, under AI Agents, add a transfer target for each line a caller may need. A small practice might set up:

  • The front desk line as the main transfer target during office hours.
  • Your on-call line as a second target, with instructions that it is for callers who ask for the on-call provider after hours.
  • A Kall8 hunt group (a paid add-on) if several front-desk staff share the phones, so the call rings each phone in turn; if nobody answers, the hunt group follows its own end-of-hunt setting.
  • A Scheduled Forwarding rule for evenings, weekends and holidays, so your team answers during the day.
  • Instructions with your hours, address, parking, the services you offer and what to say when a caller asks a question only a clinician should answer.

In your portal, start from the Receptionist template, then replace its examples with your practice's details. The portal also has starting templates for medical and dental office calls.
