Why firms put an AI receptionist on the main line

A person looking for a lawyer often calls several firms in a row. If your phone rings out or reaches a full mailbox, the next firm on the list gets the conversation. Your AI Receptionist picks up with your firm's name at seven in the morning, over lunch and while everyone is in court, so the caller hears a professional greeting instead of a ring tone.

It is not a lawyer and it does not give legal advice. Its job is the front desk: greet the caller, ask what the matter is about so it can route the call, answer the practical questions you write down (office hours, parking, the areas of law you handle, whether you offer a first consultation) and put the caller through to the right person. If a transfer isn't answered, the caller can leave a voicemail when voicemail is on for your number (it's on when you add the AI Receptionist at signup).

You decide what it asks before it transfers. Keep it to what it needs to route the call, such as the kind of matter or whether the caller is already a client of the firm. Then it tells the caller who it is putting them through to, and rings that attorney's phone.

The AI Receptionist does not give legal advice and is not an emergency service: callers in an emergency should hang up and dial 911.

A sample call

An example for a two-attorney family and estate practice. Your greeting, questions and transfer targets are your own.

  1. AI Receptionist Good evening, Bennett and Ruiz Law. How can I help you?
  2. Caller Hi, I need to talk to someone about updating my will.
  3. AI Receptionist I can help with that. Is this about a new will, or changes to one you already have?
  4. Caller Changes to one your office prepared a few years ago.
  5. AI Receptionist Thanks. Ms. Ruiz handles estate planning. Let me put you through to her now.
  6. The call rings Ms. Ruiz's phone. If she doesn't answer, the caller can leave a voicemail when voicemail is on for the number.

What callers ask a law firm

Do you handle my kind of case?

List your practice areas in the portal and the receptionist answers plainly, then offers to put the caller through to the attorney who handles that work.

Can I speak to my attorney?

Existing clients ask for their lawyer by name. Add each attorney as a transfer target and the receptionist puts the call through to that person's phone.

What are your hours, and where are you?

Office hours, the address, parking and the nearest courthouse are the questions that interrupt your staff most. Write the answers once and it gives them at any hour.

Do you offer a first consultation?

Say whether you offer one, how long it lasts and what it costs, and the receptionist tells the caller before it transfers them to whoever arranges it.

Is anyone available tonight?

After hours it can still transfer to an attorney who is on call, or tell the caller when the office opens.

Where do I send my documents?

Give it the email or mailing address your firm uses for documents and it tells the caller.

Set up transfers for your firm

In your portal, under AI Agents, add a transfer target for each person or group a caller may need. A firm of three might set up:

  • One target per attorney, named the way callers ask for them (for example "Ms. Ruiz" and "Mr. Bennett"), each with that attorney's direct line or cell.
  • A target for the front desk or paralegal team, for questions about an existing matter, payments and documents.
  • A Kall8 hunt group (a paid add-on) when several people can take new-client calls, so the call rings each of them in turn; if nobody answers, the hunt group follows its own end-of-hunt setting.
  • An after-hours rule (Scheduled Forwarding) if you want the receptionist only outside office hours, with your own staff answering during the day.
  • Instructions that say which practice areas go to which attorney, and what to tell callers about matters your firm does not take on.

In your portal, start from the Receptionist template and replace its examples with your firm's own details. The portal also has starting templates for legal intake calls.

Questions

No. It answers the practical questions you write in the portal, such as your hours, location and practice areas, and transfers callers who need an attorney. Tell it what to say when a caller asks for advice, for example that an attorney will discuss the matter once they are connected.

Yes. Add each attorney as a transfer target and describe in the instructions which kinds of matters go to whom. The receptionist tells the caller who it is putting them through to before the transfer.

If a transfer isn't answered, the caller can leave a voicemail when voicemail is on for your number (it's on when you add the AI Receptionist at signup). The attorney can then return the call between hearings.

Yes. Transfer your firm's toll-free or local number to Kall8 with no port-in fee and the receptionist answers it once the transfer completes. A vanity number on your ads works the same way.

Yes. A Scheduled Forwarding rule sends calls to the receptionist outside your office hours, so your staff keep answering during the day.
